Starting on May 1, 2023, Microsoft 365 E3, E5 and Microsoft Business Premium tenants receive 100 print jobs per month per license. The print jobs are pooled and can be used by any user-account that has a Universal Print license assigned. This change does not apply to Microsoft 365 F3, Windows Enterprise E3 or Universal Print stand-alone tenants that will continue to receive 5 print jobs per month per license. All print jobs continue to be pooled at the tenant level and can be used by any licensed user. Read more about how the shared pool works.

[How this will affect your organization:]

Microsoft 365 E3 and E5 tenants will see a dramatic increase in available print jobs, as reflected in the tenants’ Universal Print admin portal starting on May 1. A tenant with 1000 license would have 5,000 print jobs available before May 1, and 100,000 print jobs after May 1.  

We’re making these changes in response to changing print needs and customer feedback that monitoring or tracking print usage across divisions is both complex and not a priority. With this simplification we expect the additional print volume to fulfill the print needs of most Microsoft 365 organizations.  

These changes are permanent as long as you maintain a valid Microsoft 365 E3 or E5 subscription and effective immediately, as of May 1, 2023.

We recommend you investigate your print needs per month and if your organization ordered additional print job add-ons for Universal pPrint, consider canceling those orders if you estimate your print needs will be met by the additional print jobs provide with the Microsoft 365 E3 and E5 licensesnegate the need for these add-on packs. 

There’s nothing you need to do to prepare for this change unless you would like to cancel any print job add-on(s).
